An app can suggest a hundred contacts and still leave you without a single appointment. Before I book a B2B event, I want to know who can request a meeting, who confirms it and what happens if either side cancels.

These six B2B matchmaking events in Europe in 2027 give you different ways to get a conversation on the calendar. Some let registered attendees approach each other; others qualify buyers against a real project and arrange meetings with exhibitors.

I checked organiser information on 6 November 2026. Where the date is confirmed but the booking rules are incomplete, I’ve flagged the detail you need to check.

Six European B2B events, in date order. Check which role gives you access to the appointments you need.

1. Dealmakers Summit: meet across business functions

Dealmakers Summit takes place at ICE Kraków Congress Centre on 10–11 March. I would use it if you want conversations across several functions, such as a retailer comparing e-commerce providers or a supplier looking for a route into Poland.

The 2027 participation terms describe app-based matchmaking and one-to-one booking. Explorer covers one day and General and VIP cover two; all three list speed networking, while VIP adds separate spaces and activities.

Before paying more for a pass, ask which category lets you request meetings and whether you need an accepted invitation to secure a table. I would upgrade only if the additional access puts you closer to the people you need.

The organiser advertises presentations in Polish and English with translation. If your shortlist depends on a particular local buyer or supplier, check the language for the one-to-one meeting separately.

2. MEETEX: check the obligations before accepting hosting

MEETEX runs on 16–18 March at The Westin Zagreb and pairs international meetings buyers with Croatian suppliers. I would shortlist it if you are actually sourcing a venue, local organiser or destination service in Croatia.

The hosted-buyer terms describe an application reviewed by the organiser. Buyers must have planning, recommendation or purchasing responsibility for events outside their home country; an accepted place includes a diary of scheduled appointments.

Hosting carries a commitment: at least 15 appointments and the programme’s networking events. The organiser says it may withhold travel reimbursement and charge €500 if those obligations are missed. Its terms also specify €500 plus incurred expenses for cancellations more than 48 hours after it sends confirmation.

The terms set 1 February 2027 as the deadline for sending travel details and ask you to confirm your flight schedule before buying a ticket. I would check that the agenda and your travel plans work together before accepting.

Hotels, venues and other suppliers should read the separate exhibitor terms. The organiser reviews applications and confirms the booking after receiving the specified deposit, so I would settle who will staff the table before applying.

3. FinTech R:Evolution: bring a specific integration question

France FinTech has announced FinTech R:Evolution for 31 March in Paris. Its programme describes app booking for fintechs, investors and corporates, with scheduled one-to-one discussions in the Business Lounge.

I would choose it for a fintech team seeking a French market partner or a buyer comparing options such as onboarding or fraud controls. Tell the other person which system or process you need to improve so they can send someone who understands it.

The practical information page shows the 2027 date but still refers to the previous edition in its venue and app details. Confirm the venue, app launch and what your pass includes; stand and pitch opportunities are a separate question from requesting a meeting.

Pro Tip: give the other person a reason to accept

Try this if you are sourcing an event venue: “We’re planning a 120-person meeting in Croatia in September 2027. Could we spend 15 minutes checking room layout, availability and what you include in the day rate?” The other person can tell immediately whether they can help.

4. Business Kohtaamo: look for people you can work with locally

Business Kohtaamo takes place on 2 April at Hallituskatu 2 in Kempele. The organisers describe pre-arranged meetings for regional microbusinesses, SMEs and sole traders, and welcome larger organisations looking for subcontractors.

I would put this first if you serve the area and want to find a customer or delivery partner you can visit again. Bring your service area, the capacity you have available and an example of the work you can take on.

The Finnish listing shows €75 and says places are limited. Before registering, ask who selects the matches, how you confirm your schedule and what language the people you want to meet can use.

5. PAY360: decide whether you need the conference or the exhibition

PAY360 runs at ExCeL London on 21–22 April. The organiser advertises an app that lets people arrange one-to-one meetings before arriving; I would use it if you can name a payments problem and the type of provider or partner you want to discuss it with.

The organiser’s FAQ says registered participants can use the app and distinguishes exhibition access from delegate admission to the conference. Full registration was still pending when I checked, so confirm when you can start sending requests and whether your chosen pass covers the feature you need.

A merchant comparing payment providers can start with the exhibition route. A provider that wants a stand should enquire about exhibiting separately; app access alone doesn’t put you into a hosted diary of merchant appointments.

6. Heavent Amsterdam: take an active project to the appointment

Heavent Amsterdam is for the business tourism and events sector. The hosted route is for buyers whose projects the organiser validates; they use the platform to select relevant suppliers for pre-arranged 15-minute discussions at exhibitor stands.

If you are a hotel or event supplier, ask about the exhibitor appointment package and how matches are allocated. If you only want to visit, the organiser describes separate sector accreditation, so check what that admits you to before counting on hosted meetings.

The daily exhibition schedule lists 19–20 May at Beurs van Berlage, while the event header also includes 18 May. Confirm the dates of your required activities before booking travel, especially if the organiser is arranging your stay.

If your brief calls for wider hotel or destination research before you can specify a project, my European travel and hospitality events guide compares other sector gatherings. I would use that wider search to narrow the supplier brief before applying for hosted meetings.

7. Check what puts the meeting in your diary

Before pre-registering, ask who can view the directory, who can send requests and how you know a slot is confirmed. In an app that supports requests, I would count a meeting once it has an agreed time and location; in a hosted programme, I would check the organiser’s final diary.

When the platform opens, fill in the details a counterpart needs to make a decision. A venue buyer can specify capacity and date range; a payments supplier can state the markets and payment methods it supports.

If hosting covers travel or accommodation, read what you must attend and what happens if you need to withdraw. If you are paying to exhibit, ask what happens when a buyer declines or cancels and whether the organiser can replace that appointment.

Set a point to review your diary before your travel becomes expensive to change. If your priority meetings are still pending, decide whether the exhibition or other confirmed activities would justify the trip on their own.

8. Where I would start in your position

If you buy meetings or event services, I would choose MEETEX for a Croatia brief and Heavent for an active project that fits its exhibitors. If you supply those services, compare the exhibitor terms and decide whether you can staff the diary from start to finish.

If you work in payments, I would start with PAY360 for a specific provider or merchant relationship, or FinTech R:Evolution for a partnership in the French fintech market. If you are a regional small business, choose Kohtaamo for local subcontracting or Dealmakers for a wider set of business functions.

If you are exhibiting for the first time, I would ask for an example of the diary and what a buyer profile includes. That gives you a better basis for costing staff time and preparing useful demonstrations.

Pro Tip: leave space for a follow-up

Give yourself a gap after the most important meetings so you can note what was agreed and who will do it. A diary full of ten-minute introductions loses its value if nobody has time to send the sample, proposal or technical answer that comes next.

Frequently asked questions

Which B2B matchmaking events in Europe offer scheduled appointments?

MEETEX and Heavent Amsterdam offer scheduled meetings for approved hosted buyers. PAY360 and FinTech R:Evolution advertise app-based booking, while Business Kohtaamo advertises pre-arranged local business meetings. Check the rules for your role.

What qualifies someone as a hosted buyer?

It depends on the event. MEETEX looks for buyers involved in organising or making decisions about international events, while Heavent validates active projects against its exhibitors. Submit the project and purchasing details the organiser requests.

Does a visitor badge give me access to the hosted-buyer diary?

Usually it is a separate route. At Heavent, accredited visitors and approved hosted buyers have different access arrangements. Ask whether a visitor can request meetings and whether a supplier needs an exhibitor package.

What happens if I cancel a hosted-buyer trip?

Check the cancellation window, notification process and any charges before accepting. MEETEX’s 2027 terms require written cancellation and provide for charges outside its 48-hour window after confirmation.
