GUIDE FOR STUDENTS, RESEARCHERS, FOUNDERS AND WORKING PROFESSIONALS

Winning an AI conference travel grant does not necessarily make the conference affordable. You may receive €400 toward a trip costing €1,800, or discover that reimbursement arrives only after you have paid for registration, flights and accommodation yourself.

I would therefore investigate three things before celebrating: how much is covered, when the money arrives and which expenses remain yours. The name of the award matters less than the gap it leaves in your budget.

This guide compares eight routes for funding an AI conference in 2027. Some are recurring programmes, while others are previous-edition examples whose 2027 details are still pending; I have labelled that difference because last year's grant is not a promise for next year.

First, understand what "funded" means

A travel grant may cover a fixed amount, selected receipts or an entire package arranged by the sponsor. A registration waiver removes one bill, while a reimbursement still requires you to finance the trip until the organiser processes your claim.

I would classify every opportunity as confirmed for 2027, recurring with 2027 details pending, or a previous-edition example. Then record the maximum award, eligible expenses, payment method, membership rules, paper requirements and application deadline.

Do not treat cloud credits, investor meetings or startup membership as travel money. Those benefits may protect cash elsewhere, but they do not pay your hotel unless the programme says so explicitly.

1. IEEE CIS conference grants

STATUS: RECURRING PROGRAMME — CHECK EACH 2027 CONFERENCE

The IEEE Computational Intelligence Society offers limited conference participation and travel grants connected to financially sponsored IEEE CIS events. Routes exist for student members presenting papers, non-lead student authors, non-author students and eligible young professionals, but the exact support depends on the conference and applicant category.

This is a good first stop for students already working inside the IEEE ecosystem. I would confirm membership status, authorship category and the local conference deadline before booking anything, because a society-level programme still operates through event-specific rules.

2. EurAI travel grants

STATUS: 2026 EXAMPLE — 2027 CALL PENDING

For IJCAI-ECAI 2026, EurAI offered €400 grants that could be applied to registration, travel or accommodation. Applicants needed a European institutional affiliation and membership of a national AI society belonging to EurAI, with paper authors and students receiving priority.

The important detail is payment timing: recipients had to prove participation, so the award was paid after the conference. I would use this as a model for evaluating any 2027 EurAI call, but I would not copy the 2026 amount or deadline into a new budget until EurAI publishes them.

3. FBKI travel grants: targeted help for young AI researchers

STATUS: RECURRING PROGRAMME — APPLICATIONS ACCEPTED WITHOUT A FIXED DEADLINE

Germany's Section for Artificial Intelligence, FBKI, offers limited supplemental grants to eligible members attending major international AI conferences. The programme is aimed at doctoral students, advanced master's students, postdocs and other young researchers who need financial support.

An accepted paper or doctoral-colloquium place is required, and ordinary workshop participation is generally not supported. The application also needs a budget and a supervisor letter confirming that the remaining costs will be available, which tells you immediately that this is gap funding rather than a promise to finance the whole trip.

I would prepare the documents as soon as the conference decision arrives. Although submissions have no fixed annual deadline, FBKI asks applicants to apply within two weeks of the conference announcement.

4. Jump Trading conference grants

STATUS: CURRENT CORPORATE PROGRAMME — 2027 CONFERENCES NOT YET LISTED

Jump Trading describes a generous package for selected students attending AI and machine-learning conferences where the company is an active sponsor. It can include a full conference badge, return travel, hotel accommodation, ground transport and a daily food allowance.

A paper is not required, and students across STEM fields may be considered, although most awards go to PhD candidates. The limiting factor is access: the programme is currently invitation-only, so it is not a grant you can assume will accept a normal public application.

I would treat Jump as a relationship-driven route and watch the conferences it sponsors. Its published 2026 list included ICLR, ICML and NeurIPS, but those entries do not confirm support for the 2027 editions.

5. Citadel Securities

STATUS: ACTIVE PROGRAMME — CONFERENCE-SPECIFIC APPLICATION WINDOWS

Citadel Securities offers conference travel grants to eligible students in quantitative and technical fields. For selected applicants, the company says it purchases the conference pass directly, books flights and hotels through its travel agency and provides local-transport vouchers, with food support explained separately.

That arrangement is materially different from reimbursement. You do not need to carry the same upfront balance, although selection remains competitive and applicants who present or participate actively may receive priority.

I would compare Citadel with Jump on access as well as generosity. Citadel publishes conference-specific applications and also lets interested candidates register interest when their event is not listed, while Jump describes its current route as invitation-only.

6. Google conference scholarships

STATUS: LIVE SCHOLARSHIP DIRECTORY — AVAILABILITY VARIES

Google maintains a directory of student and travel scholarships intended to support participation and careers in technology. The practical details can depend on geography, academic status and the selected conference, so the central page is a starting point rather than proof that your trip qualifies.

I would check the regional application page and covered events before writing a funding request. If you find only an old call, contact the programme or wait for a current announcement instead of assuming the previous rules still apply.

7. The conference's own grant: read the reimbursement clause

STATUS: EVENT-SPECIFIC — SEARCH AFTER ACCEPTANCE NOTIFICATION

Many conferences publish travel support only after paper decisions or closer to registration. IEEE CAI 2026, for example, described several applicant categories and stated that some awards would be digitally reimbursed after in-person participation.

Its published example showed why the wording matters: typical IEEE CIS support was USD 600 for intra-continental travel and USD 1,200 for intercontinental travel, while a separate IEEE SMC author grant offered USD 600. These were 2026 terms, not a general IEEE price list and not a 2027 promise.

Search the event website for ‘travel grant’, ‘student support’, ‘diversity scholarship’ and ‘registration waiver’. Then confirm whether you must present a paper, attend in person, retain receipts or pay the registration fee before the award is processed.

8. University and employer funding: the route closest to you

Your department, doctoral school, research project or employer may be more flexible than an external grant. Universities can divide support across registration, travel and accommodation, while employers may use learning, research, recruitment or customer-development budgets.

Do not ask for ‘conference sponsorship’ without a number. Give the approver the event, dates, full budget, external support already requested, remaining gap and the result you expect to bring back.

For an engineer, that result might be an architecture decision or supplier comparison. For a researcher, it might be an accepted presentation, collaboration or documented feedback on a method.

The grant arithmetic most applicants skip

Imagine registration costs €650, return travel €400, four hotel nights €600 and local transport and meals €200. Your total trip is €1,850 before any exchange-rate movement or emergency expense.

A €600 grant leaves €1,250 unfunded. If that grant is reimbursed after the conference, you may also need access to the full €1,850 before receiving anything back.

I would build the budget in three columns: confirmed funding, requested funding and your unresolved gap. Add the expected payment date, because €600 before booking and €600 two months after the trip solve different problems.

What to check before you apply

Record the deadline, decision date, eligible countries, membership rule, career-stage restriction and accepted-paper requirement. Then list the maximum award, covered costs, payment timing, receipt rules, cancellation policy and whether funding from several sources can be combined.

Check whether a registration waiver counts toward the maximum award and whether taxes, visa costs or local transport are excluded. Never submit the same receipt to two funders, and declare other support whenever the application asks for it.

I would avoid non-refundable travel until the award is confirmed in writing. If you must book earlier, calculate the amount you could lose and decide whether your institution or employer will carry that risk.

Write a funding request that can be evaluated

"This prestigious conference will help my career" is difficult to assess. It does not tell the reader what you will do, why this event is necessary or how much assistance you need.

A stronger request is specific: "My paper on multilingual model evaluation has been accepted for the main conference. I am requesting €750 toward registration and rail travel; my department can provide €300, leaving a documented gap of €750."

Add the professional result: present the work, meet two relevant research groups and participate in the evaluation workshop. I would keep the request to one page, attach the required evidence and make every number agree with the budget.

Which funding route should you try first?

PhD students with an accepted paper should begin with the conference, their university and the relevant professional society. Those three sources understand publication requirements and may be easier to combine than a corporate programme.

Students without a paper should look for participation grants, diversity scholarships and corporate programs that do not require authorship. Jump says a paper is not mandatory, while Citadel considers presentation and active involvement as advantages rather than universal requirements.

Working engineers should start with their employer and explain the decision or capability the event will improve. Founders should separate travel support from startup passes, investor meetings and cloud-credit programs; each solves a different constraint.
